This case study looks at how Techware took a 20-user organisation from reactive, undocumented IT to a documented, managed operation with a clear technology roadmap and measured security.
The Situation
The organisation was dissatisfied with its incumbent provider on two counts: service responsiveness and an absence of proactivity. Issues were addressed as they arose, but nothing was being improved, planned or prevented. There was no technology roadmap, no budget forecast and no structured reporting, leaving the leadership team without visibility of either current risk or future cost.
What Techware Delivered
The engagement covered a full transition off the incumbent and the build of a managed, documented environment:
- Full transition from the incumbent provider, including discovery and documentation of a previously undocumented environment
- Establishment of a best-practice managed operating environment: standardised device build and configuration, structured patching, monitoring and backup with verified recovery
- Security baseline implementation with continuous posture monitoring and reporting
- A vCIO-led 12-month technology roadmap and budget, reviewed and reset annually
- Structured service reporting and a regular review cadence
The Outcomes
The organisation moved from firefighting to a planned, measurable operation:
- Reactive to managed. The environment moved from undocumented and ad hoc to a documented, standardised and monitored operating baseline.
- Technology spend became forecastable. The 12-month roadmap and budget gave leadership a planned view of technology investment for the first time, replacing unbudgeted reactive expenditure.
- Security posture is now measured and reported rather than assumed, giving the organisation a defensible position for insurer and funder enquiries.
- Restored confidence in IT, evidenced by a client relationship now in its fifth year.
The Partnership Today
Since 2021, Techware has run the environment as a managed service, with the roadmap and budget reset each year, security posture monitored and reported, and a regular review cadence keeping leadership across both risk and cost.
